1. Agreement to Terms and Conditions

Upon registration with “Learn English in a Homestay,” you are acknowledging and accepting our terms and conditions of enrolment. A course refers to the entire duration of your booking and may comprise various types such as General English, IELTS, and so on.

2. Payment and Course Confirmation

A minimum deposit of GBP250 is necessary to secure a place on a course. The remaining course fees are due 30 days prior to the course commencement. If a course is booked less than 30 days before its start, the full fees are due immediately. For students applying for a visa, we would be unable to proceed with your application until we know your Travel Visa is in place.

Upon receiving your online application to enroll in a course, we typically confirm the booking within 24 hours (during our office hours from Monday to Friday, UK time), provided we have received the required payment and the course is available. We strongly recommend waiting for our booking confirmation before arranging travel.

3. Insurance Requirements

It is recommended for you to have an insurance policy for the duration of your stay with us. This policy should cover cancellation and curtailment for any reason on the student’s part, course fees, medical expenses, personal belongings, money, personal liability, and personal injury. We are not liable for any issues resulting from the absence of appropriate insurance coverage on the student’s part.

4. Cancellation and Refund Policy

The terms for cancellation periods are based on our standard working hours from Monday to Friday. If a cancellation request is received outside of our regular office hours, the notice period will commence the next working day. We strive to process any refunds as quickly as possible. In any case, we will issue a refund within 90 days of receiving the full bank account details.

5. Cancellation Prior to Arrival

We must receive written cancellation by post or email at least 28 days before the start of the course. If we receive a cancellation notice 28 days or more before the course start date, we will refund any tuition fees paid, less the deposit of £250. Refunds will be made via the same method as payment was made. If we receive less than 28 days’ notice of cancellation, any tuition fees paid will be refunded less the deposit of £250 and 1 week’s tuition fees.

6. Cancellation After Arrival

Enrolment is accepted on the understanding that the student will remain for the duration of the course booked for the hours of study booked. Tuition, registration, and insurance fees are non-refundable once the course has commenced. Course duration cannot be extended by reducing the number of hours per week studied. Tuition and registration fees are non-transferable.

7. Visas

In the event that fees have been paid prior to a visa application which is then refused, those fees will be refunded less any irrecoverable expenses (i.e., host family compensation, courier letter fees, CAS fee, exam fees). We will need to see a copy of the visa refusal letter to provide any refund.

It is your responsibility to ensure that you have the correct visa type and appropriate leave to remain in the UK. If we find that you do not have appropriate leave to remain, we will terminate your course immediately. In this case, tuition and registration fees are non-refundable.

8. Liability and Force Majeure

We are not liable for:

  1. Loss of tuition or other related services due to factors outside our control such as acts, events, omission or accidents beyond our reasonable control or the reasonable control of our suppliers. This includes, but is not limited to, war, threat of war, riots, civil disturbances, actual or threatened terrorist activity and its consequences, industrial disputes, natural and nuclear disasters, fire, epidemics, health risks and pandemics, unavoidable and unforeseeable technical problems with transport for reasons beyond our control or that of our suppliers; closed or congested airports or ports, hurricanes and other actual or potential severe weather conditions, and flood. In the event of an outbreak of infectious disease, all students and/or parents/guardians are required to comply with rules regarding quarantine as set by government agencies or by the school.
  2. Loss of students’ property. No compensation, costs or expenses will be paid by us in these circumstances. Nothing in these terms limits or excludes the liability of either party for death or personal injury resulting from negligence.

9. Conduct & Behaviour.

We reserve the right to refuse an enrolment, or in the case of unsatisfactory attendance, work or conduct, to dismiss you from a course without refund of tuition fees. If you cause damage in the accommodation or a social activity organised by the Tutor, you are responsible for paying all repair costs.

We are not liable for any loss, damage, illness or injury to persons or property, however caused, except where statutory liability applies.

Upon completion of your course, you will receive a certificate of attendance if you have met the attendance requirements.

10. Promotional Materials

From time-to-time we may take photographs or videos for use in our promotional materials or for marketing purposes. We will ask for your consent in writing at the time to use such images.

 

11. Applicants with Disabilities or Special Educational Needs

If you have any physical disability or special educational needs (e.g., dyslexia), we request that you inform us prior to booking a course. This allows us to advise you on the suitability of the course and Tutor available and any reasonable additional support that we may be able to offer.

12. Students Aged Under 18

In the UK, students under the age of 18 are considered children under British law. For all students under 18, the parent(s) / guardian(s) and student will be required to sign the Application Form that acknowledges acceptance of our terms and conditions and to complete a Parental Agreement form. This form explains some of the legal restrictions that apply to under-18s (particularly with relation to alcohol; tobacco and drugs of any kind) and some of our rules that apply for us to accept a student aged under 18.

13. Students Aged 16 and 17 Booked on Adult Courses

All courses in our brochure or on our website are aimed at adults or Young Learners and we do accept students aged 16 or 17 on some adult courses (see brochure or course information on our website for details). Point 12 above still applies for 16 and 17 year olds on adult courses.

14. Homestay Accommodation

When locating and arranging homestay accommodation, we act as an agent introducing course participants to host(s).

We can only arrange homestay for students who are studying with us and for the same duration as the course booked. For students requiring a visa, we can only confirm homestay details once we have confirmation that the visa application has been successful.

Homestay accommodation is typically booked and charged in units of 1 calendar week with arrival on the Sunday before the course starts and departure on the Saturday or Sunday after the course ends. You should plan to arrive at your homestay at a reasonable time, usually no earlier than 11.00 and no later than 23.00. If you arrive outside these times, there may be a supplement, or you may have to make alternative arrangements for 1 night.

Unless otherwise requested, you will be the only student with your native language staying in the homestay. Twin homestay is normally only available for two students travelling together.

Unaccompanied students aged under 18 must choose homestay accommodation. We take our responsibility for the care and safety of all our students very seriously, especially students aged under 18. Therefore, we will ensure that in the case of unaccompanied students aged under 18:

  • We only provide homestay accommodation (single room, half-board). The student is treated as part of the hosts’ family and they eat together every evening. There will always be a responsible adult at home overnight.
  • Depending on the age and course there are different rules for the time that a student must arrive at their homestay in the evening (see course details). Our homestays have been asked to contact the school if this rule is broken.
  • The student must provide written permission from their parents 1 week beforehand should they wish to stay out overnight or go on an overnight trip. Any overnight stay away from homestay must be approved by the school’s safeguarding team in writing.
  • We require the parents and student to sign a “Parental Agreement”.
  • The school will inform the parents in the case that the student is not abiding by the agreed terms of the Parental Agreement.

If you take a holiday during your stay and are away, you will still be charged the full rate for the period of absence.

15. Other

The minimum age for attendance on our Homestay Period is 11years. Applications from students outside the published age limits are treated on a case by case basis.

The “Learn English in a Homestay” website (“the Website”) is operated by “Learn English in a Homestay” whose principal office is in the UK. Please read the following terms and conditions carefully as use of the Website means your acceptance of them.

17. Use of this Website

The content of this Website is owned by or licensed to “Learn English in a Homestay”. You may not copy, reproduce, modify, distribute, republish, display, post or transmit any part of this Website without the permission of “Learn English in a Homestay”. You may not use the Website for any illegal purpose or in any manner inconsistent with these terms. You agree that you are responsible for all messages sent by you or for the content of any opinions, comments, articles, photographs, or other materials that you post on this Website. “Learn English in a Homestay” is not responsible for the content of any material posted by third parties and reserves the right, without notice, to remove any content which in our reasonable opinion, is defamatory or constitutes a breach of these terms or is contrary to any law or regulation.

18. Limitation of Liability

This Website should only be used for information purposes. It is not advice and you should not rely on it to make (or refrain from making) any decision or take (or refrain from taking) any action. “Learn English in a Homestay” is not responsible for the Website’s accuracy or its fitness for a particular purpose or the reliability of the access to this Website. “Learn English in a Homestay” is not liable for any damages or losses resulting from your use of or inability to use this Website.

This Website contains links to other websites which are not under the control of and are not maintained by “Learn English in a Homestay”. These links are provided for your convenience only and “Learn English in a Homestay” is not responsible for the content or availability of those sites.

20. Intellectual Property

You acknowledge that the copyright, trademarks and all other relevant intellectual property rights (Intellectual Property Rights) subsisting in the Website, including all Intellectual Property Rights in all photographs, videos and all other text and content included on the Website belong to “Learn English in a Homestay” or its licensors.

21. Data Protection and Privacy

Any details which you provide to us, and from which we can identify you, are held and processed in accordance with our Privacy Policy.

22. Termination and Changes to the Terms

We may suspend or cancel your right to use this Website if you breach any of your obligations under these terms. We may change the Website or these terms at any time by posting notice of the changes on this Website.

23. Governing Law and Jurisdiction

These terms and your use of this Website are governed by and construed in accordance with the laws of England and Wales and any disputes will be decided by the English courts.
